What we collect, why we collect it, and exactly what happens if you give us a phone number.

1. Who we are
OpsHarbor builds and operates AI phone agents for non-medical home care agencies. Our registered address is 1020 West Heritage Club Circle, Delray Beach, Florida. You can reach us at hello@opsharbor.io about anything on this page.
This policy covers two different things, and it is worth separating them. First, information about you when you visit this site or enquire. Second, information about your applicants and caregivers that we process on your behalf once you are a client. For the second, you are the controller and we act on your instructions.
2. What we collect when you enquire
Only what you type into a form, plus basic technical detail:
- Your name, agency name, email address and phone number.
- What you tell us about your agency: caregiver headcount, whether you are independent or franchise-affiliated, your scheduling software, and the problem you are trying to solve.
- Which service you selected and which page you submitted from.
- Your IP address, browser user agent, and the date and time of submission.
- Whether you ticked the calling consent box, the exact wording shown to you, and the timestamp. We keep that record because we have to be able to prove what you agreed to.
We do not buy contact data about you, and we do not run advertising trackers or third-party analytics cookies on this site.
3. AI phone calls and call recording
This is the part most people want to know about, so it is stated plainly.
If you give us a phone number and tick the consent box, an AI voice agent may call and text you about your enquiry, usually within about a minute. The voice you hear is synthetic. It will say so at the start of the call.
Calls may be recorded and transcribed so we can improve the agent and so we have a record of what was discussed. Some states require all parties to consent to recording; the agent discloses recording at the start of the call, and you can refuse or hang up.
Consent is not a condition of buying anything. You can withdraw it at any time by telling the agent to stop, replying STOP to a text, or emailing us. A withdrawal is recorded permanently and survives any future list we build, so you will not be contacted again by mistake.
If you would rather not be called at all, leave the phone field blank and give us an email address instead. The form is built to accept that.
4. Applicant and caregiver data, once you are a client
When we run agents for your agency, we process personal information about your job applicants and caregivers on your instructions. That typically means names, phone numbers, availability, certifications, and the content of the calls we place.
We do not intend to process protected health information, and we do not accept it. Our agents handle administrative calling only: screening applicants, confirming shifts, chasing paperwork. They do not give care advice, assess a client, or discuss a plan of care. If your workflow would route clinical information to us, tell us before go-live so we can design around it.
You are responsible for obtaining consent from your applicants and caregivers before we call them, and for deploying the consent language we provide on your application form. We cannot legally place those calls without it, so this is a delivery requirement rather than a formality.
5. Who we share information with
We do not sell personal information. We use a small number of service providers who process data on our behalf:
- Twilio, to place and receive phone calls.
- ElevenLabs, to generate the agent voice and transcribe calls.
- Large language model providers, to decide what the agent says during a call.
- SMTP2GO, to deliver our email.
- Our own CRM, which we self-host on our own server rather than in a third-party cloud.
We may also disclose information where the law requires it, or to establish or defend a legal claim.
6. How long we keep it
Enquiry records and consent records are kept while we may still contact you and for as long as we need to prove what was agreed. Call recordings and transcripts are kept for as long as they are useful for quality and dispute resolution, then deleted.
For client data, retention is set in the services agreement, and on termination we return or delete it as instructed.
7. Your rights
You can ask us to show you what we hold about you, correct it, or delete it. You can withdraw calling consent at any time, and you can ask to be added to our permanent do-not-contact list. Email hello@opsharbor.io and we will action it.
Depending on where you live you may have additional rights under state privacy law. We will honour those requests regardless of whether we are strictly required to.
8. Security
Our systems run on infrastructure we control, with encrypted transport, access limited to the people who need it, and credentials held in a vault rather than scattered across spreadsheets. No system is perfectly secure, and we will not pretend otherwise, but we do not treat your data casually.
9. Children
This is a business service. It is not directed at children, and we do not knowingly collect information about anyone under 18.
10. Changes to this policy
If we change how we handle information we will update this page and change the date above. Where a change materially affects calling consent, we will ask for consent again rather than rely on the old wording.
